Job Content:

Responsibilities:

  • Supervise and manage the administration team and to perform full ranges of operative functions including counter services, general supporting services, electronic service support systems, website and social media pages and perform regular review for continuous quality improvement
  • Assist the supervisor to ensure efficient operation of the core centre and service points by setting up and maintaining a good administrative system including account management, budget control, inventory control, filing development, roster system, license record, complaint management. Records and document in good order
  • Keep track of service statistics and prepare relevant reports to funding bodies and the Board etc.
  • Participate in the formulation and implementation of service guidelines, system development and monitoring of quality performance
  • Develop effective communication system to facilitate coordination and team building among staff so as to keep staff informed and engaged in the overall service progress and development of the DHCE
  • Assist supervisor in the management of subordinates to improve their performance and job satisfaction through regular supervision, staff development and appraisal etc.
  • Oversee the implementation of various quality and safety measures, e.g. 5-S and Occupation Safety and Health
  • Support the development of DHCE, including but not limited to development and monitoring of other affiliated projects and related stakeholders 
  • Assist supervisor in communicating corporate initiatives to staff and obtaining staff feedback as necessary
  • Provide executive support to the supervisor in centre meetings, meetings with Primary Healthcare Office and other meetings including various committees from DHCE, and other community stakeholders. Prepare meeting papers as necessary
  • To take up any other duties as assigned by the immediate supervisor or above


Requirement:

  • Degree holder in any discipline preferably in management
  • Minimum 5 years solid administrative experience; experience in social service sector / NGO an advantage
  • Excellent command of English and Chinese
  • Mature, good interpersonal and problem-solving skills, proactive and system thinking
